Job Description

Roles and Responsibilities


1. Coordinate the day-to-day functions of the office.

2. Administration of allocation and maintenance of VC room and other meeting rooms

3. Maintaining register for Inward and outward courier and checking the details on monthly basis, before forwarding to accounts for payment

4. Purchasing office supplies, stationery, printer consumable, toiletries, pantry items and any others, including vendor liaison and negotiation and maintenance of ideal stock levels.

5. Distribution and refilling of stationery, as required, ensuring maintenance of ideal stock levels.

6. Ensure that all equipment including printers and plotters are in good working condition. Raise the red flag as and when required.

7. Ensure staff have sufficient supplies in all equipment to perform their daily work

8. Manage correspondence, databases, records management systems, and paper and electronic filing systems.

9. Manage weekend working

10. Need to be positively responsive to staff complaints.

11. Printing of Letter Heads, Office Covers, General Business Cards, in liaison with the corporate office.

12. Maintenance of ACs / generators, Lift and other repairs in coordination with the landlords.

13. Booking of hotels and transportation to ensure facile stay and travel in Coimbatore for visitors and ticket booking, as required

14. Monitor and manage pantry daily consumption and supplies and stocks.

15. Backup to other administrative assistants, if any but be able to work independently

16. Coordination with labour office and professional tax office.

17. All admin and purchasing ISO related documentation including lift licence building certification and checklists, as required.

18. Supervision of House-keeping, office assistance and stringent control on all security activities including attendance maintenance and pest control and cleanliness audit.

19. Provide support for HR activities including on-boarding, off-boarding, exit formalities, conduct of training and recruitment programmes, complete all EPFO, PF ESI, Family addition documentation, providing of ID cards, HRMS activities in liaison with Corporate office - HR.

20. Ensure adequate readiness for HR activities in Coimbatore including recruitment.

21. Liaise and support with Coimbatore - Accounts

22. Perform any other tasks as required


Desired Candidate Profile

1. Effective communication in English & Tamil

2. Skilled in planning, problem-solving, time management, and working with little to no supervision

3. Interact with staff at all levels, exercise good judgment in a variety of situations, act in a resourceful manner when needed, and exhibit polish and poise in communications with external and internal customers including the staff.

4. Organized approach and excellent time management skills.

5. Ability to work well as part of a team and liaise with the corporate office.

6. Proficient knowledge of Microsoft office

7. Working knowledge of accountancy and finance control.
